Calendar Integration
Locus GTD seamlessly integrates with Apple Calendar, allowing you to view and manage both tasks and calendar events in one place.
Overview
The Calendar Integration feature brings together:
- Your Locus GTD tasks
- Apple Calendar events
- A unified view of your schedule
Enabling Calendar Integration
Initial Setup
- Go to Settings → Preferences
- Find Apple Calendar Integration
- Toggle Enable Calendar Integration
- Grant calendar access when prompted
Selecting Calendars
Choose which calendars to sync:
- In Calendar Integration settings
- Tap Select Calendars
- Check calendars you want to display
- Save your selection
TIP
Select only calendars you actively use to avoid clutter.
Viewing Calendar Events
Schedule View
Calendar events appear in the Schedule view alongside tasks:
- Past: Overdue events
- Today: Today's events
- Soon: Next 3 days
- Future: Beyond 3 days (customizable range)
Calendar View
Two calendar view modes:
Month View
- Full month calendar grid
- Dots indicate days with tasks/events
- Tap a date to see details
Week View
- 7-day horizontal scroll
- Tasks and events listed by day
- Swipe to navigate weeks
Event Display
Calendar events show:
- 📅 Event title
- ⏰ Start and end time
- 📍 Location (if set)
- 📝 Notes (if any)
- 🎨 Calendar color
Managing Calendar Events
Viewing Event Details
Tap any calendar event to see:
- Full event information
- Attendees
- Location with map
- Notes and attachments
- Recurrence pattern
Editing Events
Edit calendar events directly in Locus:
- Tap event to open details
- Tap Edit button
- Modify event properties
- Save changes
Changes sync back to Apple Calendar automatically.

You need appropriate permissions to edit events. Some shared calendar events may be read-only.
Creating Events
Create calendar events from Locus:
- Long press date in Calendar view
- Select Create Event
- Fill in event details
- Choose calendar
- Save
Calendar Settings
Event Display Range
Configure how far ahead to show events:
- Go to Settings → Preferences
- Find Calendar Event Range
- Choose range:
- 7 days
- 14 days
- 30 days
- 90 days (maximum)
Future Tasks Range
Set the range for "Future" section in Schedule:
- Go to Settings → Preferences
- Find Future Tasks Range
- Choose range:
- 7 days
- 14 days
- 30 days
- 60 days
Example: If set to 14 days:
- Soon: Days 1-3
- Future: Days 4-14
Tasks vs. Events
When to Use Tasks
Use Locus tasks for:
- ✅ Action items requiring completion
- ✅ Items with subtasks or dependencies
- ✅ Things you need to track and manage
- ✅ GTD-style next actions
When to Use Events
Use calendar events for:
- ✅ Time-specific appointments
- ✅ Meetings with others
- ✅ Scheduled blocks of time
- ✅ Recurring time commitments
Converting Between Types
Task to Event:
- Open task
- Toggle "Is Event"
- Set specific time
- Save
Event to Task:
- Events created in Apple Calendar remain events
- Create a task referencing the event if needed
Widget Integration
Calendar events appear in widgets:
Today Widget
Shows today's:
- Tasks due today
- Calendar events
- Combined timeline view
Calendar Widget
Displays:
- Month or week view
- Event and task indicators
- Quick access to dates
Best Practices
1. Selective Syncing
Only sync calendars you actively use:
- ✅ Personal calendar
- ✅ Work calendar
- ✅ Family calendar
- ❌ Subscribed calendars (holidays, sports)
- ❌ Spam or unused calendars
2. Clear Naming
Use clear event titles:
- ✅ "Team Meeting - Q1 Planning"
- ✅ "Dentist Appointment - Dr. Smith"
- ❌ "Meeting"
- ❌ "Appointment"
3. Time Blocking
Use events for time blocking:
9:00 AM - Deep Work Block
11:00 AM - Email Processing
1:00 PM - Team Meeting
3:00 PM - Project WorkThen use tasks for specific actions within those blocks.
4. Color Coding
Use calendar colors meaningfully:
- 🔴 Red: Urgent/Important
- 🔵 Blue: Work meetings
- 🟢 Green: Personal appointments
- 🟡 Yellow: Flexible time blocks
5. Regular Review
Weekly calendar review:
- [ ] Check upcoming events
- [ ] Prepare for meetings
- [ ] Block time for important tasks
- [ ] Adjust schedule as needed
Troubleshooting
Events Not Showing
If calendar events aren't appearing:
Check Permissions:
- Settings → Privacy → Calendars
- Ensure Locus has access
Verify Calendar Selection:
- Locus Settings → Calendar Integration
- Ensure calendars are checked
Check Date Range:
- Events beyond 90 days won't show
- Adjust range if needed
Refresh:
- Pull down to refresh in Calendar view
- Close and reopen app
Can't Edit Events
If you can't edit calendar events:
- Shared Calendars: You may not have edit permissions
- Read-Only Calendars: Some calendars are read-only
- Subscribed Calendars: Can't edit subscribed calendars
Sync Issues
If events aren't syncing:
- Check iCloud sync status
- Ensure internet connection
- Verify iCloud Calendar is enabled
- Try disabling and re-enabling integration
Privacy & Security
Data Storage
- Calendar events are not stored in Locus
- Locus reads events from Apple Calendar
- All data stays in Apple's ecosystem
Permissions
Locus requests:
- Calendar Read: View events
- Calendar Write: Edit/create events
You can revoke permissions anytime in iOS Settings.
Syncing
- Events sync through iCloud
- No third-party servers involved
- End-to-end encryption via iCloud
