A time-specific task with a start time and optional end time.

Definition

An event is a Task that occurs at a specific time, similar to a calendar appointment. Events are displayed in the calendar view alongside regular tasks.

Key Characteristics

Time-Specific

Events have:

  • Start time: When the event begins (required)
  • End time: When the event ends (optional)
  • All-day option: For full-day events

Calendar Display

Events appear in:

No Completion Checkbox

Events are time-based, not completion-based:

  • They happen at a specific time
  • Mark as completed after they occur
  • Or mark as dropped if cancelled

Creating Events

Convert Task to Event

  1. Open a task
  2. Toggle "Is Event"
  3. Set start time
  4. Optionally set end time
  5. Save

Create New Event

  1. Tap + in calendar view
  2. Enter event details
  3. Set time
  4. Save

When to Use Events

✅ Use Events For

Appointments:

  • Doctor appointment at 2:00 PM
  • Dentist visit at 10:30 AM

Meetings:

  • Team standup at 9:00 AM
  • Client call at 3:00 PM

Time-blocked work:

  • Deep work session 10:00-12:00
  • Email processing 2:00-2:30 PM

Scheduled activities:

  • Gym class at 6:00 PM
  • Lunch with friend at 12:30 PM

❌ Don't Use Events For

Flexible deadlines:

Tasks without specific time:

  • "Call dentist sometime today" → Use Task

Multi-day projects:

  • "Complete website redesign" → Use Project

Event Properties

Events can have all task properties:

Events and Reminders

Notification Timing

  • Default: 15 minutes before
  • Custom: Set specific reminder times
  • Alarm Reminder: Strong notification (iOS 26.0+)

Multiple Reminders

Set multiple notifications:

  • 1 day before
  • 1 hour before
  • 15 minutes before

Month View

Events show as:

  • Colored dots on dates
  • Event title when tapped
  • Time when expanded

Week View

Events show as:

  • Time blocks
  • Event title
  • Duration bar

Day View

Events show as:

  • Timeline entries
  • Full details
  • Conflicts highlighted

Recurring Events

Events can repeat using Repeat Settings:

  • Daily standup (every weekday)
  • Weekly team meeting (every Monday)
  • Monthly review (first Friday)

Event Status

Events use Task Status:

  • Active: Upcoming event
  • Completed: Event occurred
  • Dropped: Event cancelled

Time Blocking with Events

Use events to block time for focused work:

Best Practices

Be Specific

Include time in event title:

  • ✅ "Team Meeting (2:00 PM)"
  • ✅ "Doctor Appt - 10:30 AM"

Add Location

For physical events, add location:

  • "Client Meeting @ Their Office"
  • "Dentist @ Downtown Clinic"

Set Reminders

Always set reminders for important events:

  • Appointments: 1 hour + 15 min before
  • Meetings: 15 minutes before
  • Travel events: 1 day before

Use End Times

Set end times for better scheduling:

  • Prevents overbooking
  • Shows true availability
  • Helps with time blocking
