A container for organizing projects hierarchically.

Definition

A folder is an organizational structure that contains Projects and other folders, allowing you to create a hierarchical project organization system.

Key Characteristics

Container Only

Folders:

  • Don't contain tasks directly
  • Only contain projects and subfolders
  • Are purely organizational
  • Don't have status or due dates

Creating Folders

Method 1: From Projects View

  1. Go to Projects tab
  2. Tap + button
  3. Select "Create Folder"
  4. Name your folder
  5. Optionally assign Category
  6. Save

Method 2: Nested Folder

  1. Open an existing folder
  2. Tap + button
  3. Select "Create Folder"
  4. Create subfolder

Folder Depth

  • Maximum: 3-4 levels
  • Optimal: 2-3 levels
  • Too deep: Hard to navigate

Use both: Folders for structure, categories for classification.

Moving Projects

Into Folders

  1. Long press project
  2. Drag to folder
  3. Release to move

Between Folders

  1. Open project
  2. Tap folder field
  3. Select new folder
  4. Save

Out of Folders

  1. Open project
  2. Tap folder field
  3. Select "No Folder"
  4. Save

Folder Properties

Folders can have:

  • Name: Folder title
  • Category: Optional classification
  • Order: Position in list
  • Icon: Optional emoji (20% of folders)

Folders cannot have:

  • Status (only projects have status)
  • Due dates
  • Tasks (only projects contain tasks)
  • Tags

Collapsing/Expanding

Collapse Folder

Tap arrow next to folder name to hide contents.

Benefits:

  • Cleaner view
  • Focus on active folders
  • Reduce scrolling

Expand Folder

Tap arrow again to show contents.

Folder Management

Renaming

  1. Open folder
  2. Tap name field
  3. Edit name
  4. Save

Deleting

  1. Swipe left on folder
  2. Tap Delete
  3. Confirm

WARNING

Deleting a folder deletes all projects and subfolders within it. This action can be undone.

Reordering

Drag folders to reorder them in the list.

Best Practices

Clear Hierarchy

Create logical, intuitive structure:

  • ✅ Work → Clients → Individual Clients
  • ✅ Personal → Home → Specific Projects
  • ❌ Random nesting without logic

Limit Depth

Keep it shallow:

  • 2-3 levels: Easy to navigate
  • 4+ levels: Gets confusing

Consistent Naming

Use clear, consistent names:

  • ✅ "Client Projects"
  • ✅ "Internal Initiatives"
  • ❌ "Stuff"
  • ❌ "Misc"

Don't Over-Organize

Too many folders = harder to find things:

  • Start simple
  • Add folders as needed
  • Consolidate when possible

Use Categories Too

Combine folders (structure) with categories (classification):

  • Folder: "Work" → "Marketing"
  • Category: "Active Projects"

Folder Review

Monthly Review

Check folder structure:

  • [ ] Are folders still relevant?
  • [ ] Can any be consolidated?
  • [ ] Is hierarchy clear?
  • [ ] Are projects in right folders?

Cleanup

  • Archive empty folders
  • Merge similar folders
  • Flatten unnecessary nesting
