Two-Minute Rule

If a task takes less than two minutes, do it immediately.

Definition

The Two-Minute Rule is a core GTD principle: when processing items, if an action takes less than two minutes to complete, do it right away instead of organizing it for later.

The Logic

Why Two Minutes?

Time to organize ≈ Time to do

Recording, organizing, and tracking a task takes roughly two minutes:

  • Write it down
  • Set properties
  • Add to system
  • Review later
  • Actually do it

Total: ~2 minutes of overhead

If the task itself takes < 2 minutes:

  • Just do it now
  • Skip the overhead
  • Get it done immediately

The Efficiency Gain

Traditional approach:

Capture → Organize → Review → Do
Total time: 4-5 minutes

Two-Minute Rule:

Capture → Do (immediately)
Total time: 2 minutes

Saved: 2-3 minutes per task

When to Apply

During Processing

When processing Inbox items:

  1. Read the item
  2. Ask: "Can I do this in < 2 minutes?"
  3. If YES → Do it now
  4. If NO → Organize for later

Examples of Two-Minute Tasks

Do Immediately:

  • Reply to simple email
  • Make quick phone call
  • Send short message
  • File a document
  • Add calendar event
  • Quick web search
  • Send a link
  • Approve a request
  • Update a status
  • Make a note

Don't Apply Rule:

  • Write detailed report (20 min)
  • Research project (1 hour)
  • Complex problem-solving
  • Creative work
  • Deep focus tasks

How to Apply in Locus

In Processing Mode

  1. Open Processing Mode
  2. Read inbox item
  3. If < 2 minutes:
    • Do the task immediately
    • Tap Complete
    • Move to next item

In Inbox View

  1. Review inbox item
  2. If < 2 minutes:
    • Complete the action
    • Swipe to complete
    • Continue processing

Quick Actions

Common quick actions:

  • Reply: Answer email/message
  • Call: Make quick phone call
  • Send: Forward information
  • File: Organize document
  • Update: Change status/info

Benefits

Immediate Completion

  • Task done right away
  • No tracking overhead
  • Inbox clears faster
  • Momentum builds

Reduced Overhead

  • Less to organize
  • Fewer items to track
  • Simpler system
  • Less review needed

Mental Clarity

  • Visible progress
  • Less mental load
  • Increased motivation

Time Savings

  • 2-3 minutes per task
  • Compounds quickly
  • More efficient workflow

Common Challenges

"Takes Longer Than Expected"

Problem: Task takes 5 minutes, not 2.

Solution:

  • Stop if exceeding 2 minutes
  • Add to inbox
  • Organize properly
  • Do later with focus

"Interrupts Flow"

Problem: Doing quick tasks breaks concentration.

Solution:

  • Batch process inbox
  • Set processing time
  • Not during deep work
  • Schedule processing sessions

"Everything Seems Quick"

Problem: Overestimating speed, everything feels < 2 min.

Solution:

  • Be honest with estimates
  • Time yourself initially
  • Learn your pace
  • When in doubt, organize

"Avoiding Real Work"

Problem: Only doing quick tasks, avoiding important work.

Solution:

  • Process inbox at set times
  • Limit processing sessions
  • Don't use as procrastination
  • Focus on priorities after

Best Practices

Be Strict with Time

  • Truly < 2 minutes only
  • Set timer if needed
  • Don't stretch the rule
  • Honest assessment

Don't Interrupt Deep Work

  • Not during focus time
  • Process during breaks
  • Dedicated processing time
  • Protect concentration

Batch When Possible

  • Group similar quick tasks
  • Process inbox together
  • Efficient context switching
  • Maintain momentum

Track Patterns

Notice if you:

  • Often exceed 2 minutes
  • Avoid certain quick tasks
  • Use rule as procrastination

Adjust accordingly.

The Two-Minute Rule in GTD Workflow

Complete Processing Flow

New item in inbox

Is it actionable?
├─ No → Delete/Reference
└─ Yes → Continue

   Takes < 2 minutes?
   ├─ Yes → DO IT NOW ✓
   └─ No → Continue

      Delegate it?
      ├─ Yes → Assign & track
      └─ No → Continue

         Defer it?
         ├─ Yes → Schedule
└─ No → Add to next actions

Position in Workflow

The Two-Minute Rule is the first decision after determining actionability:

  1. Is it actionable? (Yes)
  2. Takes < 2 minutes? → Do it
  3. Can delegate? → Assign it
  4. Defer? → Schedule it
  5. Otherwise → Next actions

Variations

Five-Minute Rule

Some people use 5 minutes:

  • More tasks qualify
  • Greater time savings
  • Risk of longer interruptions

Recommendation: Start with 2, adjust if needed.

Context-Dependent

Adjust based on context:

  • Processing inbox: Strict 2 minutes
  • During work: Maybe 30 seconds
  • Dedicated time: Up to 5 minutes

Energy-Dependent

Consider your energy:

  • High energy: Can handle more
  • Low energy: Stick to < 1 minute
  • Tired: Skip rule, organize only
